Guard360 – Privacy Policy

1. Introduction

Guard360 ("the App") is a security workforce management application developed and operated by Iplext Technologies. This Privacy Policy explains how we collect, use, store, and protect information when you use the Guard360 mobile application and associated services. By using Guard360, you agree to the practices described in this policy.

2. Information We Collect

We collect the following categories of information to provide our services:

• Account information: Your name, mobile number, email address, and employee/guard ID provided by your employer.
• Location data: GPS coordinates at clock-in and clock-out, and during site visits, to verify attendance and patrol activity.
• Photographs: Selfies captured at check-in for facial verification, and site photos uploaded during patrol rounds or visit reports.
• Attendance records: Timestamps of shifts, check-ins, check-outs, and geofence validations.
• Device information: Device type, operating system version, and app version for troubleshooting purposes.
• Usage data: In-app activity such as QR scans, patrol rounds completed, and report submissions.

3. How We Use Your Information

• To verify and record attendance, shift schedules, and patrol activity.
• To enable supervisors and administrators to monitor workforce operations.
• To generate payroll-relevant timesheets and compliance reports.
• To authenticate your identity during login using face recognition.
• To send push notifications related to your shifts, assignments, and alerts.
• To improve app performance and fix technical issues.

4. Data Sharing

We do not sell your personal data. Your information is shared only in these limited circumstances:

• Your employer/client organisation: Supervisors and administrators of your registered organisation have access to your attendance records, location logs, and reports through the Guard360 admin panel.
• Service providers: We use trusted third-party providers for cloud hosting, push notifications (Firebase), and face detection (Google ML Kit). These providers are bound by confidentiality agreements and process data only on our behalf.
• Legal requirements: We may disclose data if required by law, court order, or regulatory authority.

5. Data Retention

We retain your personal data for as long as your account is active and as required by your employer's agreement with us. Attendance records and location logs are typically retained for 12 months. You may request deletion of your account by contacting your employer's administrator or emailing us directly.

6. Location Data

Guard360 collects GPS location data in the foreground when you perform attendance check-in/check-out and site visit actions. Location data is not collected continuously in the background unless your organisation has enabled the live tracking feature, which is disclosed separately. You can disable location access in your device settings, but this will prevent core app functions from working.

7. Camera and Photos

The app uses your device camera to capture attendance selfies and site photos. Images are securely transmitted to our servers and stored in encrypted form. We do not share your photos with third parties beyond your employer's administrators.

8. Security

We implement industry-standard security measures including HTTPS encryption for all data in transit, secure token-based authentication (JWT), encrypted credential storage on-device, and access controls on our servers. However, no method of transmission or storage is 100% secure, and we cannot guarantee absolute security.

9. Your Rights

Depending on your jurisdiction, you may have the right to:

• Access the personal data we hold about you.
• Request correction of inaccurate data.
• Request deletion of your data.
• Object to or restrict certain processing activities.

10. Children's Privacy

Guard360 is intended for use by working adults. We do not knowingly collect personal information from individuals under 18 years of age.

We may update this Privacy Policy from time to time. We will notify users of significant changes through the app or by email. Continued use of Guard360 after changes constitutes acceptance of the updated policy.
